The Manufacturing Administrative Assistant provides comprehensive administrative, documentation, and inventory management support to the Manufacturing team, ensuring timely issuance of production records, accuracy of batch documentation, and effective coordination across cross-functional teams. This role supports planning activities, maintains training and compliance records, assists with audit readiness, and manages reporting and program coordination.  

The position plays a key role in supporting inventory management, maintaining organized systems, and driving operational efficiency while ensuring compliance with internal procedures and regulatory requirements, performing duties as directed by Manufacturing department director and team 

What You’ll Do 

  • Issue of Manufacturing device master records (DMR) upon receipt of Work Orders (WOs) 
  • Assist in planning and forecasting activities 
  • Coordinate administrative activities across Manufacturing and cross-functional teams 
  • Review batch records and supporting documentation for accuracy and completeness 
  • Maintain and organize manufacturing documentation and filing systems 
  • Manage Manufacturing department employee training records, binders, and training compliance tracking including 
  • FDA and ISO 13485 training for manufacturing staff 
  • Prepare and maintain training records for new hires, including temporary employees 
  • Support audit readiness and provide documentation during internal and external audits 
  • Generate and submit necessary monthly reports for management review and HR payroll processing 
  • Coordinate Raw Urine Participant Program collection activities 
  • Monitor Value Assignment shipments and maintain tracking in Excel 
  • Order and restock supplies and support inventory management for manufacturing operations 
  • Coordinate with QA on quarterly documentation reviews to ensure compliance 
  • Support continuous improvement and operational efficiency initiatives 
  • Provide general administrative and operational support as needed 
  • Perform additional duties as assigned by management 

What We’re Looking For 

  • 2+ years of administrative experience, preferably in manufacturing or regulated environments 
  • Strong organizational skills and attention to detail 
  • Proficient in Microsoft Office (especially Excel) 
  • Ability to manage multiple priorities in a fast-paced environment 
  • Strong communication and coordination skills 
  • Familiarity with GMP/FDA/ISO 13485 environments preferred

Compensation 

The hourly range for this position is $23 – $27 an hour and will be determined based on experience, skills, education, certifications, and location.
